What this policy covers
tempo-book-it.com is run by Gareth Hale, trading as Tempo Book It, from the United Kingdom. For data protection law, that makes me the data controller for the information described on this page. The policy covers this website and the services sold from it, including the managed Club Partner service.
It does not cover data held inside a club's own Tempo Book It installation. Bookings, member accounts, registers and medical notes on a club's site belong to that club: the club is the data controller, and the club's own privacy policy applies. If we host and run the site for you under Club Partner, the section further down explains how that works.
What this website collects
Forms. The contact, Launch, support and pre-sales forms ask for your name, email address, club name and, on some forms, your current setup and preferred call times. They exist so we can answer you, and that is all the details are used for. Submissions arrive as email and are kept while the conversation is live, then for up to two years so a returning club does not have to start from scratch. There is no mailing list, no CRM and nothing in between. The legal basis is our legitimate interest in answering the people who write to us, and taking steps towards a contract when you ask about buying.
Analytics. If, and only if, you accept analytics cookies in the banner, the site uses Google Analytics 4 to count visits: which pages are read, how visitors found the site, roughly where they are, and what sort of device they used. We look at the numbers in aggregate to see which pages and guides earn their place; we do not use them to identify anyone. The legal basis is your consent. Say no, or say nothing, and it never loads.
Buying and accounts. When you buy a licence or sign in on the account page, the purchase and licence are handled by Freemius, who act as merchant of record. We receive the resulting order: your name, email address and what was bought. Card details never reach us. The legal basis is the contract you are entering, and order records are kept for six years because UK tax rules require it.
One preference. The site remembers whether you chose the light or dark view. That choice is stored in your browser and never leaves your device.
Cookies
The banner on your first visit is where you choose. Necessary cookies always run, because the site cannot remember your choice without one; analytics cookies run only if you opt in, and you can change your mind whenever you like by reopening the cookie settings.
- pressidium_cookie_consent(necessary): stores the choices you made in the banner so we do not ask on every page. It stays until it expires or you clear your browser.
- _ga (analytics): lets Google Analytics recognise that two page views came from the same visitor. Kept for about 13 months.
- _ga_* (analytics): keeps track of the current visit for Google Analytics. Kept for about 13 months.
Signing in on the account page brings the Freemius customer portal's own cookies with it. Those belong to Freemius, and they load only on that page, only once you are signed in.
Third parties, and when they load
Reading this site sends nothing to anybody else. There is no tag manager, no embedded fonts, maps or video: every font, icon, image and script comes from this domain. Analytics is the one exception, and it is yours to allow: Google Analytics loads from Google's servers only after you accept analytics cookies in the banner.
Buying a licence. Licences are sold by Freemius, who act as merchant of record. Nothing of theirs loads until you press a buy button. When you do, their checkout opens and brings its own payment providers with it: Freemius, Stripe and PayPal, along with the networks those three serve their code from. Card details and billing address go to them and never reach us; we receive the resulting order.
Your account. The account page embeds the Freemius customer portal, so licences, invoices and billing sit in one place. That portal is their page inside ours, and it loads Google Tag Manager, Smartlook (which records the session), Google Fonts and Gravatar. Those are Freemius's choices rather than ours, and they load only once you are signed in and looking at the portal.
Forms. The contact, Launch, support and pre-sales forms email us directly. There is no mailing list, no CRM and nothing in between.
Club Partner customer data
Under Club Partner we host and run the club's website as a managed service. The club remains the data controller for its members' data; Tempo Book It acts as the club's data processor and touches member data only to keep the service running.
Club Partner sites and their backups are hosted in a UK data centre. Access is limited to Gareth Hale, and only for support, maintenance and the work described in the Club Partner terms. A club's member data is never used for our own purposes, never sold and never shared.
If a club cancels or hands its site over, the club receives the complete site and database, and our remaining copies, backups included, are deleted within 30 days of the handover completing.
Your rights and data requests
UK GDPR gives you the right to ask for a copy of the personal data we hold about you, to have it corrected or deleted, to object to or restrict how it is used, and to receive it in a portable format.
To use any of these, email hello@tempo-book-it.com. No form and no hoops: say what you want and you will have an answer within a month. If you are a club member and your data lives on a club's own site, ask the club; they are the controller, and we may hold nothing about you at all.
If you think your data has been handled badly and we cannot put it right, you can complain to the Information Commissioner's Office at ico.org.uk.
