Recording refunds

The two-step refund flow: Tempo records and cancels, WooCommerce returns the money.

Tempo's default compensation is account credit, which keeps money in the club and admin out of your evenings (How booking credit works). But sometimes actual money needs to go back. Refunds are deliberately a two-step flow, restricted to site administrators only; shop managers don't see the action.

Your site may use different words. Tempo lets you rename class, student and teacher under Settings → Branding & vocabulary; these docs use the defaults.

Step 1: record the refund (Tempo)

From the booking's Record refund action (paid, confirmed bookings only), the screen spells out what will happen, then:

  • cancels the booking, freeing the place;
  • writes the refund into the credit ledger's compensation slot, the same slot the credit paths check, which is why a refunded booking can never *also* be credited, and a credited one can never be refunded; double compensation is impossible by construction;
  • notes the order and emails the family ("Booking refunded": the money is on its way back by the original payment method), with a staff copy to opted-in staff.

No money moves in this step. It's the bookkeeping and the communication.

Step 2: process the money (WooCommerce)

Recording drops you straight onto the WooCommerce order, bannered as awaiting its monetary refund. Use WooCommerce's Refund button as you would for any shop order; your payment gateway returns the money and WooCommerce sends its own payment confirmation.

This is the point of the design: the money step is standard WooCommerce, identical to every shop on the internet, auditable in your gateway's dashboard, and never a home-made money path.

Refunding a whole order

Setting an entire order's status to Refunded cancels its remaining active bookings and returns any credit that was redeemed at checkout, exactly once; doing it twice changes nothing further.

Note

For the common cases, reach for credit first: it's instant, self-serve at the family's next checkout, and doesn't leak gateway fees. Refunds are for genuine endings: a family leaving, a class that never ran, a payment taken in error.
