Converting legacy accounts
Turning old "child account on the parent's email" logins into proper parent-and-child records, without losing history.
Clubs coming from older systems usually inherit one messy pattern: the account is in the *child's* name but runs on the *parent's* email, because the parent set it up. Tempo's conversion tooling untangles this into a proper parent account with linked child records, keeping every scrap of history. New clubs with no imported members can skip this article entirely.
Your site may use different words. Tempo lets you rename class, student and teacher under Settings → Branding & vocabulary; these docs use the defaults.
What a conversion does
Whether run by the office or self-served by the parent, conversion is one routine with one result:
- The existing account becomes the parent: same login, same email, same order history. Money history records who paid, and that doesn't change.
- A new student record is created for the child and linked to the parent.
- Everything that's really about the child moves to the child: profile fields and the class history (bookings, attendance, credit history and so on), so registers and reports show the child, not the parent, as having attended all those years.
- The whole thing is audited, and it happens completely or not at all; a failure stops cleanly and tells the parent to contact the office rather than half-finishing.
The self-service route (most conversions)
Families don't wait for you. The first time a legacy account signs in to the booking page, the first-login wizard asks whether the person signing in is the student or a parent:
- A parent with one child: gives their own name, relationship and mobile; the account converts on the spot.
- A parent with several children: names every child and says which one this account originally belonged to; that child is spun out with their history intact, and the *other* names are filed as a request for your office to link or create, because matching those to old records is a judgement call (Linking parents and children).
- "None of them, it's really my account": the account is promoted to parent as-is, no child spun out, and every named child goes to the office queue.
While they're at it, a parent can also tick "I'd like to sign in with a different email address" and give a replacement. Old systems often refused duplicate emails, so plenty of parents signed up on a secondary address they'd now like rid of. The new address is checked before anything changes (a real address, not already on another account), the switch only happens once the conversion succeeds, the usual "your email was changed" notice goes to the old address, and their password stays as it was.
You can switch this question off under Tempo → Settings → First time accounts if you'd rather all conversions run through the office.
The office route
On a legacy account's page in the members screen, the Convert account tab shows an eligibility check and a preview of exactly what will happen before anything is written, then runs the same conversion, optionally setting a new username. Use it for families who phone in, or who you'd rather walk through it.
Adult members whose account genuinely is their own need no conversion; the wizard's "I'm the student" answer leaves them exactly as they are.
