Adding extra sessions: one-offs outside the weekly timetable
Dated one-off sessions and short daily runs: workshops, extra rehearsals, holiday intensives, booked like any other session.
The timetable describes the normal week, but not everything happens weekly: a Saturday workshop, an extra show rehearsal, a three-day holiday intensive. Extra sessions are dated one-offs you create directly, and from the moment they exist they behave like any other session: bookable, registerable, cancellable, reported.
Your site may use different words. Tempo lets you rename class, student and teacher under Settings → Branding & vocabulary; these docs use the defaults.
Creating extra sessions
The Add extra sessions button sits at the top of Tempo → Sessions (and on the calendar's toolbar). Pick the class, then:
- The first date, and optionally a repeat daily until date for short runs; up to 31 days in one go, which comfortably covers a holiday intensive week.
- Time and duration, from your usual duration list.
- Location, capacity, duration product and teachers, exactly as on a timetable entry; the product decides the price per date (How pricing works).
Saving creates one session per date. Extra sessions are always single-date bookings: no half-term or full-term packages, because a one-off isn't a term commitment.
Where they live afterwards
On the Sessions screen, the Extra sessions chip lists each batch you've created: how many dates it holds, the next one coming up, a View dates drill-down to its sessions, and Remove. Removing works the way removing a timetable entry does: unbooked dates go quietly, and dates with bookings are never silently deleted; they're flagged for you to resolve first.
The sessions themselves carry an extra tag wherever they appear, and editing one (move it, cancel it, adjust its capacity) works exactly like any other session, including the notify panel when booked members are affected.
Two behaviours are worth knowing, both deliberate:
- Regeneration never touches them. Saving the term or a timetable entry regenerates weekly sessions; extra sessions have explicit dates, not a weekly pattern, so no edit elsewhere can ever move or delete one.
- Duplicating a term never copies them. "Copy the timetable" brings across the weekly entries only. A one-off belongs to its dates, not to every future term; if next term needs its own workshop, create it on its own dates.
How members book them
Staff can book anyone onto an extra session straight away through Add booking; classes closed to online booking stay bookable from the office, as ever.
If you open a batch to online booking, members see an Extra sessions section beneath the class browse views on the booking page, listing the explicit dates with their prices. They book through the normal single-date picker, and checkout, holds, emails and credit all behave exactly as for any other single-session booking. The weekly list and week views stay weekly; dated one-offs get their own section rather than muddling the grid.
The public timetable feed deliberately doesn't include extra sessions; its shape is the weekly timetable a marketing site displays. Members find extras on the booking page itself.
